Wedding Limo Checklist: 10 Things to Confirm Before You Book

The vehicle is the easy part. Almost every limo company in the GTA has a clean fleet and a professional-sounding website — the difference between a wedding-day pickup that runs perfectly and one that turns into a stressful phone call from the bridal suite usually comes down to what was confirmed in advance, not what was in the brochure. Here are the 10 things worth pinning down before you sign anything.

  • 1. The exact timeline, not just the date. Getting-ready pickup, ceremony arrival, the photo window, and reception arrival should all have specific times attached — not just "morning of." A vague timeline is the most common source of wedding-day delays.
  • 2. Vehicle capacity vs. your actual guest count. A stretch limo "seats 10" on paper, but 10 people in formal wear with dresses, suits and bags is a different story. Ask what the comfortable capacity is, not just the maximum.
  • 3. What happens if the vehicle breaks down. Ask directly: is there a backup vehicle on standby, and how far away is it. A company that hesitates on this question doesn't have a real answer.
  • 4. Décor and add-ons — confirmed, not assumed. "Just Married" signs, ribbon, champagne flutes — if you saw it in a photo on their website, confirm in writing that it's included for your booking, not just available as an upsell.
  • 5. The overtime rate, before you need it. Receptions run long. Know the exact per-15-minute or per-hour overtime rate before the day, so nobody's negotiating price with a chauffeur at 11pm.
  • 6. Deposit amount and cancellation policy. Get the deposit amount, what it's refundable up until, and the final payment due date in writing — ideally in the same email or contract as your booking confirmation.
  • 7. Chauffeur attire and professionalism standard. For a formal wedding, ask what the chauffeur will be wearing. It sounds minor until a driver shows up in a company polo for a black-tie event.
  • 8. The alcohol policy, both ways. Some venues and vehicles allow champagne on the ride between ceremony and reception, some don't allow any open alcohol at all. Confirm what's allowed in the vehicle before you plan a toast in the back seat.
  • 9. Photo stops along the route. If you're planning a stop at a park, waterfront, or scenic spot for photos between the ceremony and reception, confirm it's built into the booked hours — not treated as an unplanned extra stop.
  • 10. Final headcount and payment cutoff date. Know the last date you can adjust your guest count or vehicle choice without a rebooking fee — venues usually lock this down weeks out, and your transportation should match that same deadline.

Every limo company's website shows the same handful of polished vehicle photos. What actually varies company to company is everything on the list above — and most of it never comes up unless you ask directly. A company that answers all 10 questions clearly and puts the key details in writing is telling you more about how your wedding day will actually go than any photo gallery can.

How Far in Advance Should You Book?

For peak wedding season (June through September), 2–3 months ahead is typical, and earlier is safer if you have a specific vehicle in mind — a stretch limousine or a particular luxury sedan can book out on popular Saturdays.
